Job Description

As a Virtual Administrative Assistant, you will be responsible for providing critical administrative support to our team members, helping them manage daily tasks and stay organized. You’ll play a key role in keeping everything running smoothly behind the scenes, making sure that appointments are scheduled, files are managed, and communications are streamlined. This is a remote role, so you will be working from home, with a high degree of autonomy.

Key Responsibilities

File and Document Management

Organize and manage electronic files, ensuring all documents are accurately labeled and stored for easy retrieval.
Maintain and update company databases and digital records, ensuring information is current and correctly formatted.
Assist with archiving old documents and keeping the digital filing system organized for team-wide access.

Communication Management

Answer and route phone calls, emails, and other correspondence to the appropriate team members or departments.
Draft, proofread, and send professional emails and memos on behalf of the team.
Serve as the first point of contact for internal and external communications, ensuring queries are addressed promptly.

Calendar and Scheduling

Manage multiple calendars and schedules for team members, coordinating appointments, meetings, and events.
Schedule conference calls, Zoom meetings, and webinars, ensuring all logistics are in place (including setting up meeting rooms, sending invites, and confirming attendee availability).
Provide reminders and updates about upcoming meetings or deadlines, ensuring the team stays on track.

Data Entry & Record-Keeping

Accurately input data into spreadsheets, databases, or company software, ensuring information is kept updated and error-free.
Assist in managing and maintaining contact lists, client information, and other important records.
Regularly update internal documentation and reports, ensuring accuracy and compliance with company standards.

Research & Reporting

Conduct research on various topics as requested by team members, compiling your findings into clear, concise reports.
Provide insights and recommendations based on your research to assist the team with decision-making.
Stay informed of trends, best practices, and tools that can improve administrative processes.

General Administrative Support

Perform other general administrative duties, including assisting with travel arrangements, preparing meeting agendas, and maintaining inventory of office supplies (for remote teams).
Assist in creating presentations, reports, and other materials using Microsoft Office Suite or other software.
Handle ad hoc tasks as requested by the team, contributing to a smooth and efficient workflow.

Qualifications

Education

High school diploma or equivalent is required; an Associate’s or Bachelor’s degree in a related field is preferred but not necessary.

Skills & Experience

Strong written and verbal communication skills, with the ability to interact professionally with team members and clients.
Excellent organizational and time-management skills, with a keen attention to detail.
Ability to prioritize and manage multiple tasks simultaneously in a fast-paced, remote environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable learning new software tools as needed.
Self-starter who can work independently with minimal supervision and is proactive in solving problems.
Previous experience in an administrative role is a plus but not required—enthusiasm and willingness to learn are key.
